JOB DESCRIPTION SUMMARY 

The Accounts Payable Staff will be responsible for managing and maintaining the company’s accounts payable ledger. This includes receiving, reviewing, and processing invoices, ensuring accuracy in data entry, and handling expense reports in a timely and efficient manner. 

Key Responsibilities: 

  • Receive, open, and log incoming invoices. 
  • Verify invoice details and ensure proper authorization and coding. 
  • Enter invoice data accurately into the accounting system. 
  • Reconcile vendor statements and resolve any discrepancies. 
  • Prepare and process payments in accordance with company policy. 
  • Maintain organized and up-to-date records of all accounts payable transactions. 
  • Assist with month-end closing processes related to accounts payable and in other accounting areas as deemed appropriate as needed. 
  • Ability to assist other accounting professional staff, controller and President as needed. 
  • Handle employee expense reports and ensure compliance with company policies. 
  • Understand compliance issues around W-9s, sales tax, 1099s, etc.

 Work Environment 

  • This job operates in an office setting. This role routinely involves standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. 

Physical Demands 

  • This is a largely sedentary role; however, some filing is required. Prolonged periods sitting at a desk and working on a computer. 

Position Type/Expected Hours of Work 

  • This is a part-time, in office position, working up to 20 hours per week. Days and hours of work are Mondays, Tuesdays, and/or Thursdays. Additional hours may be required during month end close and are subject to approval by the Controller.
